Travel Tips for a Smooth and Safe Meeting Experience
Whether you’re joining the ASH annual meeting from across the country or across the ocean, a little preparation will help you make the most of your time at the meeting. These tips and tools will keep you organized, comfortable, and safe during your visit to Orlando.
ASH Medical Services Partnership with Orlando Health for ASH Attendees
ASH has partnered with Orlando Health, the preferred health care provider of the 67th ASH Annual Meeting and Exposition. The partnership includes the availability of a dedicated medical services team that has been pre-arranged to serve ASH attendees and can expedite care when needed.
- Orlando Health will operate a dedicated virtual care center within the Orange County Convention Center staffed by a nurse and include telehealth capabilities to provide acute care, family medicine, women’s health, and psychiatry care services. There will also be first aid stations within the convention center for basic needs.
- After Hours/Concierge: Should a medical need arise when you are away from the convention center, you can call 321-842-2001 starting Thursday, December 4, through 5:00 p.m. Wednesday, December 10.
ASH Safety Partnership Program
ASH takes pride in creating a welcoming and safe meeting environment for everyone (see meeting policies and code of conduct), this includes having a security and safety team at its meetings.
If you or someone you know feels unsafe or simply prefers to walk with a little peace of mind to or from the Orange County Convention Center, adjacent hotels, or nearby restaurants, you can request an ASH-provided security personnel companion to accompany you. To request this during conference hours (7 a.m. – 6 p.m.), Thursday through Tuesday, please call ASH’s Security Command Post at 407-685-4013 or stop by their office located in the convention center – Room W102. Please note, this number cannot receive text messages.
ASH recommends removing your badge when exploring the city and urges meeting attendees to be safe when in their hotel room by keeping the doors locked, familiarizing themselves with the fire and emergency exits, and never opening the door for people when you haven’t called for room service/maintenance.
Bring Your Real ID or Passport
As of May 7, 2025, a REAL ID (United States only) or other legally accepted form of identification, like a passport, is required to board federally regulated flights. A REAL ID is an optional, upgraded driver's license or ID card that meets federal security standards. It is marked with a star or another indicator in the upper-right-hand corner.
For peace of mind while traveling, consider packing and keeping an extra copy of your identification papers, visas, and travel itinerary with you.
Free Shuttle Bus
To make it easier to get around, ASH offers multiple shuttle bus routes from various hotels to the Orange County Convention Center. Please refer to the below shuttle bus schedule and route maps. The ASH annual meeting mobile app will provide updates on frequency and the current real-time locations of buses along the shuttle routes.

Service will not be provided for the following hotels, as they are connected by skybridge or within walking distance of the convention center:
- Hyatt Regency Orlando
- Rosen Centre
- Rosen Plaza
- Tru by Hilton Orlando Convention Center
Quick Safety Prep Checklist
Review the shuttle bus routes from your hotel to the Orange County Convention Center. This will be included in the annual meeting mobile app in addition to on-site signage at hotels and the convention center.
Save key contacts to your phone (ASH security phone number (407-685-4013), mobile phone numbers for colleagues attending ASH with you, etc.)
Bring an extra copy of your ID, travel itinerary, and visa.
Download an offline map of Orlando in your phone’s map app.
Plan your walking routes in advance, especially for early mornings or late evenings.
Let a friend or colleague know your itinerary if you’re exploring solo.
