Universal Award Application
Do I need to apply for each specific award under the universal award umbrella?
No, while the award system will list an apply button next to each option, you only need to complete one application. Within the application, you can list your award preferences.
What are the requirements for the universal applications?
There are different requirements for each award level. Specific details about requirements can be found on the award pages.
Do I need to fill out the HIP supplemental question to be considered for HIP?
Yes, if you do not complete the HIP supplemental question, you will not be considered for the HIP program, even if you choose the award in your ranking.
Can I change my award preferences after the award application deadline?
No, once the award deadline has passed, no changes can be made to the application or award preferences.
What if I get accepted for more than one award?
ASH staff will use your preferences listed in your application, and you will only receive one award notification.
When will I find out my award status?
Late April
Mentorship
How do I identify a mentor?
You may identify a mentor yourself or ask an individual at your institution for recommendations. If you are planning to apply to a program on the Hematology Inclusion Pathway Medical Student and Resident Awards, you can submit a request to ASH staff to be paired with a mentor.
How do I know if my mentor is an ASH member?
Ask your mentor if they are an active member. Another option would be to check ASH's online Member Directory; however, you must be an ASH member to log into this feature. If needed, you can email ASH staff at [email protected] with your mentor’s name and institution.
Does my primary mentor have to be from my institution?
Ideally, yes, your primary mentor should be at your institution. However, in some cases, we understand that your mentor may be at another institution. In this case, it is strongly encouraged that if your primary mentor is not from your institution, then your secondary mentor should be.
What is the review committee looking for in the letter from my mentor?
This letter is meant to address your project and your role in the project, your involvement in writing the project description, your qualifications, the environment you will be working in, and the other planned activities you will participate in, including lab meetings and conferences. Your research mentor must also provide information about their prior mentoring experience.
If I have two mentors, can they act as co-mentors for the application?
Yes. For the purposes of the application, you will need to declare one primary mentor. We recommend you choose one to be your primary mentor and have the other act as your secondary mentor.
What if I want to change mentors during the award term?
Please contact [email protected] for appropriate steps.
Institutional Commitment
What should my institutional commitment include?
Letters should include details regarding the applicant’s appointment, the institution’s commitment to providing protected time, and the resources available to perform studies. The letter should be signed by someone authorized to make the commitment on behalf of the institution. The primary mentor’s letter of support must be separate from the Institutional Commitment letter, so they will need to write two letters.
Budget and Travel
What items are allowed to be included within the award budget?
Applicants are required to follow the downloadable budget form for allowable items.
Are travel expenses allowed within the award budget?
Awardees are expected to travel to the ASH Annual Meeting and Exposition as part of the program. Travel expenses are allowed for no more than one additional meeting per year.
What percentage of the budget may be allocated to fringe benefits?
Applicants may only allocate up to 15 percent of their annual budget towards fringe benefits.
