ASH Corporate Policies

The corporate policies of the American Society of Hematology are designed as a reference for ASH Corporate Friends, other ASH supporters, Friday Satellite Symposia sponsors, and ASH annual meeting exhibitors. In addition to the information below, you may find the following guidelines helpful:

ASH Mission Statement

The American Society of Hematology (ASH) is committed to furthering the understanding, diagnosis, treatment, and prevention of disorders affecting the blood, bone marrow, and the immunologic, hemostatic, and vascular systems by promoting research, clinical care, education, training, and advocacy in hematology.

Use of ASH Name and Logo

The ASH logo may not be used on any materials produced by organizations other than ASH itself. Any use of the American Society of Hematology’s name or copyrighted material requires prior written approval by ASH.

Use of ASH Mailing List

Mailing List for Corporations That are Participating in the Friday Satellite Symposia

Those companies participating in the Friday Satellite Symposia are entitled to one complimentary 2008 final attendee mailing list from ASH for one-time use only. ASH pre-approval is required for the mailing piece. Electronic mailing lists are not available. Sample mail pieces should be mailed along with the request form and check. Electronic files will only be accepted for second drafts. The deadline to submit your mailing piece for approval along with the mailing list request form is November 7. A second list may be purchased for the appropriate fee.

Mailing List for Exhibiting Companies

Exhibiting companies may purchase the ASH annual meeting registration mailing lists (advance and/or final registration) for promotion of the exhibit booth and for follow-up activities after the annual meeting. ASH does not sell its membership list to exhibiting companies for product and/or service promotion. A complete copy of the mailing piece must be submitted to the ASH Meetings Department for review and approval prior to the purchase of this mailing list. These lists are for one-time use only and are not available electronically.

Corporate Support

Corporations that support an annual meeting promotional product, reception and/or event are given the right of first refusal the following year to support the same opportunity again. Corporations are encouraged to inquire about other funding opportunities. Each year, programs are added, offering new opportunities for our corporate supporters to get involved with the ASH annual meeting.

When supporting annual meeting promotional products, receptions and/or events, the corporation must agree that the funds are in the form of a grant to ASH. ASH will enter into a letter of agreement with the supporting company for each product or event.

All payments for support must be received by July 1, 2008, unless other arrangements have been made and both parties agree to them in writing before the July 1 deadline.

ASH provides a consistent form of acknowledgment for all annual meeting support. All acknowledgments are limited to the corporation name and standard corporate logo. No product or brand information is allowed. Acknowledgments will be made as follows:

  • Corporation name will be listed on the ASH Web site.
  • Corporation name will be listed in the Abstracts Book, which is mailed prior to the annual meeting to ASH members, subscribers, and annual meeting pre-registrants, and distributed on site. (Note: Payments received after July 1, 2008 are not guaranteed acknowledgement in the Abstracts Book)
  • Corporation name will be listed in the On-Site Program Book as a meeting supporter.
  • Corporation name will be listed on signage in the registration area acknowledging all annual meeting supporters.
  • Corporation name will be listed in ASH News Daily (on-site newspaper) as a meeting supporter.
  • Signs associated with the program or product being supported will be posted in appropriate areas at the annual meeting.

Items Not Available for Corporate Support:

  • Meeting bags, other than the official bag produced by ASH
  • Napkins, cups or service items with corporate information
  • Hotel Key Cards
