Registration Information for the 59th ASH Annual Meeting & Exposition

Advance registration for ASH members and non-members is now open.

To register and obtain housing, you must use your ASH username and password to start the online registration process. If you are planning to have someone else process your registration and hotel reservations for you, it will be important for you to share your ASH username (usually your email address unless you have customized it) and password, which are required to access the system.

Please note, meeting badges will be mailed to all early-bird and advance registrants (those registered prior to November 2) in mid-November.

Late and On-Site Registration

Begins November 2

Attendees who register after November 2 will be charged the late/on-site registration fee. On-site registration will begin on Thursday, December 7, at 3:00 p.m. Pacific Standard Time in Building A, Level 1, Hall A1 during the times listed below.

Registration Fees and Categories

You must be a member at the time of registration to receive the member rate. Applicants approved for membership after registering for the meeting will not be refunded the difference between the member and non-member rates.

*To register as a non-member in training, you must register and submit your verification by November 1. After this date, you will need to register as a non-member, meaning you will not get access to trainee activities and services.

Registration fees may be paid by credit card or by check only. Wire transfers will not be accepted.

Meeting Cancellation Policy

The American Society of Hematology reserves the right to modify or cancel any or all activities associated with this meeting due to unforeseen circumstances. In the event that we have to unexpectedly cancel this annual meeting, the full registration fee, less a processing charge, will be returned to each registrant.back to top

Registration Cancellation Policy

Registration cancellations must be submitted to the ASH Registration Center in writing by Tuesday, November 21, 2017, to receive a refund, less a $75 processing fee. All requests must include a brief description of reason for cancelling. Refunds will not be granted after Tuesday, November 21, 2017. If payment was made by credit card, the refund will appear as a credit on the account within four weeks. If your original payment was by check or wire transfer, refunds will be sent by check within 60 days after the conclusion of the meeting.back to top

Registration Badges

Badges will be mailed to all advance registrants beginning in mid-November. If you do not receive your badge prior to the meeting, please pick up your badge and meeting materials on site at the Georgia World Congress Center. The registration area will be located in Building A, Level 1, Hall A1.back to top

Meeting Materials

The annual meeting abstracts and the full annual meeting program will be available online in early November. Registrants may also use the ASH annual meeting mobile application to access the abstracts and annual meeting program from a smartphone or tablet.back to top

Group Registration

Group registration opens on August 9, 2017, at 11:00 a.m. Eastern time.

The Benefits of Registering as a Group

Group Registration Individual Registration
Group leaders can be invoiced for the entire group. Individuals must pay individually and registrations without payment are not accepted. Registration confirmations serve as an invoice for Individual Attendees.
Communications regarding a group are sent to the group leaders. Communications regarding an individual registrant are sent to that registrant.
Group leaders will need to enter a unique email address to register each Delegate. Individual Attendees must use their login and password to register as a member or guest.
Group leaders are able to arrange badge and meeting materials pick up for the entire group. Individual Attendees receive mailed badges in advance and must pick up meeting materials onsite individually. If badges are not received in advance, the badge may be issued only to the Individual Attendee onsite. Photo identification is required.
Group leaders manage changes to the Delegates in their group. Once an Individual Attendee is registered, only the registrant will have access to the registration for changes and cancellations.

Membership Application Deadlines

You must be a member in order to register at the member rate. Below are the cutoff dates by which you must apply in order to be approved as a member prior to the meeting. Applicants approved for membership after registering for the meeting will not be refunded the difference between the member and non-member rates.

Active and International Member

Applications for Active and International membership are considered by the ASH Executive Committee twice per year; applications received between now and the annual meeting will not be processed in time for applicants to register as ASH members for the 2017 annual meeting. Please consider applying by March 1, 2018, to become a member in time for the 2018 ASH Annual Meeting. Please see the active or international membership page for more information.

Associate and International Associate Member

Associate and international associate membership applications are reviewed on a rolling basis and must be received by November 1, 2017, to be eligible for reduced member meeting registration rates. Applicants who are accepted will be billed for their 2017 membership dues immediately upon approval. Dues must be paid in full in order to qualify for the Associate member meeting registration rate. Medical Student, Graduate Student, and Resident Member

ASH now offers membership categories for medical students, graduate students, and residents (trainees who have not yet entered hematology training) residing in the United States, Mexico, and Canada. Applications for these membership categories are reviewed on a rolling basis and must be received by November 1, 2017, to be eligible for reduced member meeting registration rates. Applicants who are accepted will be notified and will be immediately eligible to register for the annual meeting as members since they do not pay membership dues. Membership applications may be submitted on site at the ASH Resources Center during the annual meeting. Resulting memberships will begin in 2017.

Special Registration Instructions

Non-Member in Training

Any resident or post-doctoral fellow with an MD or PhD in a recognized hematology or oncology training program, as well as any undergraduate, graduate, or medical student, may register as a non-member in training.

To receive the non-member-in-training advance registration rate, you must register and submit your verification by November 1. Non-members in training who register after November 1 will be registered as non-members and charged the non-member rate. No non-member-in-training registrations will be accepted on-site.

You must be a member at the time of registration to receive the member rate. Applicants approved for membership after registering for the meeting will not be refunded the difference between the member and non-member rates.

Residents and Post-Doctoral Fellows:

During the online registration process, you will need to provide:

  • Program director's name and contact information
  • Name of the program which you are enrolled
  • Length of the program (in years)
  • Program start date (month and year)
  • Expected program completion date (month and year)

International Post-Doctoral Fellows (IPDF) program

As part of our continuing efforts to provide valuable opportunities to international hematologists, ASH has established the International Post-Doctoral Fellows (IPDF) program, which allows post-doctoral fellows to access valuable ASH resources at no charge for up to four years. The program is open to post-doctoral fellows with an MD, PhD, or equivalent medical degree who reside outside the United States, Canada, or Mexico, who register for the ASH annual meeting as a non-member in training, and who are enrolled in an approved hematology or oncology training program. Benefits include:

  • A complimentary online subscription to Blood
  • Online access to Hematology (the ASH Education Program) and The Hematologist
  • Advance annual meeting notifications
  • Eligibility for reduced meeting registration at the non-member-in-training rate

Eligible attendees registering online for the ASH annual meeting as non-members in training will be invited to apply. For more information and to submit an application, visit the IPDF page.

Graduate and Medical Students:

During the online registration process, you will need to provide:

  • Name of your university/institution
  • Name and contact information for your school counselor
  • Field of study
  • Start date and expected month and year of graduation

A verification letter (on official letterhead confirming that the registrant is a trainee) is required. An email notification will automatically be sent to your program director or school counselor requesting a signed letter of verification after your registration is received.

Individuals who registered in the non-member-in-training category last year and are still enrolled in their training programs will not need to send a letter verifying their enrollment status.

Verification should be emailed (in PDF format) to ashverification@spargoinc.com. Fax copies will not be accepted.

Individuals will be officially registered for the meeting once ASH confirms their training status.

North American Undergraduate Student Benefit

The North American Undergraduate Student Benefit (NASB) is designed for U.S., Canadian, and Mexican undergraduate students who have an interest in hematology but are not yet eligible for ASH membership. The benefit provides:

  • A complimentary online subscription to Blood
  • All annual meeting notices in advance, as well as reduced (i.e., Non-Member in Training) registration rates.

Eligible attendees registering online for the ASH annual meeting as non-members in training will be invited to apply. For more information and to submit an application, visit the NASB page.

Allied Health Professional

To register in this category, an individual will need to provide evidence of his/her status as an allied health professional. Individuals who qualify for this category include nurse practitioners, registered nurses, physician assistants, clinical nurse specialists, pharmacists, research technicians, and technologists.

Verification of one's status as an allied health professional must be submitted prior to the meeting to receive meeting materials in advance.

Verification entails providing a letter from the registrant's immediate supervisor on institutional letterhead confirming the name of the organization and the registrant's position there, a copy of a state license, proof of membership in another affiliated association, or a copy of an institutional identification card. Registrants who do not provide verification will be charged the ASH non-member registration rate.

Individuals will be officially registered for the meeting once ASH confirms their status.

Spouses/Guests

Spouses and guests are welcome to register for the ASH annual meeting. Spouses and guests will receive a badge that allows access to the exhibit hall, including daily coffee breaks and Sunday and Monday boxed lunches, the Saturday evening welcome reception, and Sunday and Monday poster hall receptions. This registration rate does not include entrance to the Education and Scientific Program sessions or poster viewing sessions, and it does not include meeting materials.

ASH Foundation Donor Registration Benefits

The following annual meeting registration benefits are offered in appreciation of donor generosity. Please note that donation processing takes approximately two to three weeks. Individual gift recognition and associated benefits are provided once donation processing is completed.

  1. ASH members with cumulative giving of $1,000 or higher for the current calendar year to date qualify to register earlier than ASH members – during the VIP registration period – and get first access to annual meeting hotels.
  2. Non-members with cumulative giving of $10,000 or higher for the current calendar year to date qualify to register earlier than ASH members – during the VIP registration period – and get first access to annual meeting hotels.
  3. Non-members with cumulative giving of $1,000 to $9,999 for the current calendar year to date qualify to register during member registration, and also have early access to annual meeting hotels during the member registration period.
